n8n vs Zapier for Small Businesses: Cost, Control and Which to Choose
Most small businesses start automating with Zapier: connect a form to a CRM, post new orders to Slack, add a row to a spreadsheet. Then the workflows grow, the monthly bill grows faster, and someone suggests n8n. This guide compares the two honestly, including where Zapier is still the better tool.

n8n vs Zapier at a glance
| Factor | Zapier | n8n |
|---|---|---|
| Pricing model | Based on tasks (each successful action step counts) | Cloud plans based on workflow executions; self-hosted Community Edition is free to run |
| Hosting | Cloud only | n8n Cloud or self-hosted on your own server |
| Ease of use | Very easy, built for non-technical users | Visual editor, but rewards technical skills |
| Integrations | Thousands of ready-made app connectors | Hundreds of nodes plus a generic HTTP node for any API |
| Custom code | Limited code steps | JavaScript and Python code nodes |
| AI workflows | AI steps and agents | LangChain-based AI agent nodes, any model provider |
| Data control | Data passes through Zapier’s cloud | Self-hosting keeps data on your infrastructure |
How does Zapier pricing differ from n8n pricing?
Zapier counts tasks: roughly, every action step that runs successfully uses one task. A five-step Zap that runs 1,000 times a month uses around 5,000 tasks. As workflows get longer or run more often, you move into higher plans.
n8n Cloud counts workflow executions: one run of a workflow is one execution, however many steps it contains. The self-hosted Community Edition has no execution limits; you pay only for the server it runs on and the time to maintain it. That difference is why long, frequently running workflows are often dramatically cheaper on n8n. Always check both vendors’ current pricing pages, because plans and limits change.
When is Zapier the better choice?
Zapier wins when the people building the automations are not technical, the workflows are short (a trigger and two or three actions), volumes are modest, and you need a connector for a niche app that n8n doesn’t have. Its setup experience is excellent, and for ten simple Zaps the monthly cost is usually small compared with the time saved.
It is also the safer choice if nobody on your team, and no partner, is available to look after a self-hosted server.
When is n8n the better choice?
n8n pulls ahead when workflows have many steps, branches and loops; when they run thousands of times a month; when they process customer, financial or health data that you would rather keep on your own infrastructure; and when they need custom logic, data transformation or calls to APIs that have no ready-made connector.
It is also a strong platform for AI automation. n8n’s AI agent nodes can call OpenAI, Anthropic Claude, Google Gemini or self-hosted models, use tools, and read from vector stores, so you can build workflows such as “read incoming emails, classify them, draft replies and log them in the CRM” in one place.
What does self-hosting n8n involve?
Self-hosting means running n8n on a server you control, typically with Docker on a small cloud VPS, backed by a PostgreSQL database, with HTTPS, regular backups, monitoring and updates. It is not difficult for a developer, but it is ongoing work: someone must apply updates, watch for failed executions and restore from backup if needed.
n8n is released under the Sustainable Use License, which allows free use for your own internal business purposes. Check the licence terms if you plan to offer n8n itself as a service to others.
What are typical small-business workflows to automate first?
The best first automations are frequent, rule-based and annoying: new website leads into the CRM with an instant email and a Slack alert; invoices from email into accounting software; order data from the store into a fulfilment sheet or warehouse system; weekly reports assembled from several tools; and AI triage of support emails with a drafted reply for a human to approve.
Pick workflows where you can measure the time saved. A workflow that saves one person thirty minutes a day is worth more than a clever automation nobody relies on.
Can you migrate from Zapier to n8n?
There is no one-click import, so each Zap is rebuilt as an n8n workflow. That is usually a good opportunity to merge related Zaps into one workflow, add error handling and remove steps that only existed to work around task limits. Migrate in batches, run old and new side by side for a few days, and switch off each Zap only after the n8n version has run cleanly.
Frequently asked questions
Is n8n free?
The self-hosted n8n Community Edition is free to use for internal business purposes under its Sustainable Use License; you pay for hosting and maintenance. n8n Cloud and enterprise editions are paid plans.
Is n8n harder to use than Zapier?
Somewhat. Both use visual editors, but n8n exposes more technical concepts such as data items, expressions and code nodes. Non-technical users can build simple n8n workflows; complex ones benefit from developer support.
Can n8n connect to apps that don’t have an n8n node?
Yes. The HTTP Request node can call almost any REST or GraphQL API, and webhooks let other systems trigger workflows.
How much does it cost to have n8n workflows built?
WebsNexus n8n workflow automation starts from $200 for a focused workflow, including error handling and documentation. Larger automation projects are quoted after scoping.
