How to Add an AI Chatbot to Your Business Website (That Actually Knows Your Business)

Generic chat widgets that answer “I’m not sure, please contact us” to every second question do more harm than good. A good AI assistant answers from your actual services, prices, policies and documentation, captures leads, and knows when to pass the conversation to a person. This guide explains how that is built, what it costs to run, and the mistakes to avoid.

Three ways to add an AI chatbot

ApproachWhat it isBest for
Off-the-shelf widgetA SaaS chatbot you train by uploading pages or documentsSimple FAQ sites that want something live this week
Custom LLM integration (RAG)Your own assistant using a model API plus a search index of your contentBusinesses that need accuracy, integrations and control
Fine-tuned or custom modelA model adapted to your data, tone or taskSpecialised, high-volume tasks where prompts and RAG aren’t enough

Do you need to train your own AI model?

Almost never for a website assistant. Modern models already understand language well. What they don’t know is your business: your services, prices, opening hours, policies and product details. The standard way to supply that knowledge is retrieval-augmented generation (RAG): your content is split into passages and indexed; when a visitor asks a question, the most relevant passages are retrieved and given to the model along with instructions to answer from them.

RAG is cheaper than fine-tuning, easy to update (edit a page and re-index it), and makes answers traceable to a source. Fine-tuning or a custom model is worth considering later for very specific tasks, tone or volume.

What are the building blocks of a custom AI chatbot?

A production assistant has five parts. A chat interface on your site. A back end that holds your API keys, applies rate limits and logs conversations. A knowledge index built from your pages, PDFs, help articles and product data. A model provider such as OpenAI, Anthropic or Google, chosen for quality, cost, speed and data-handling terms. And integrations: creating leads in your CRM, booking appointments, checking order status or opening a support ticket.

Never call a model API directly from the browser with your secret key. All model calls should go through your own server.

How do you stop the chatbot from making things up?

Hallucinations are reduced, not eliminated, by design. Instruct the model to answer only from the retrieved content and to say when it doesn’t know. Keep the knowledge base accurate and current. Return links to the source pages with each answer. For high-risk topics (prices in quotes, legal, medical or financial advice) route to a human rather than letting the model improvise.

Before launch, test with a set of real questions from your inbox and sales calls, including awkward ones, and review conversation logs weekly for the first month.

How much does an AI website chatbot cost to run?

Running costs are mainly model usage, which is billed per token (roughly, per chunk of text read and written). For a typical small-business site with a few hundred conversations a month, model costs are usually modest, often less than a basic software subscription, especially with smaller, faster models for routine questions. Hosting, the vector index and monitoring add a small fixed cost.

The build cost depends on integrations. A knowledge-based assistant with lead capture is a focused project; one that books appointments, looks up orders and writes to several systems takes longer. WebsNexus LLM integration projects start from $400.

What about privacy and data protection?

Tell visitors they are talking to an AI assistant, and link to your privacy policy. Don’t index private documents into a public assistant. Check each model provider’s data-retention and training policies; business API terms from major providers generally don’t use API data for training by default, but confirm the current terms for your plan. Avoid collecting sensitive personal data in chat unless you have a clear lawful basis and secure handling in place.

How do you launch and improve it?

Launch on a few high-traffic pages first, with a clear “talk to a person” option. Measure resolved questions, leads captured, handoffs and visitor ratings. Each week, look at unanswered or badly answered questions and fix the underlying content, which often improves your website for human visitors and search engines too.

Frequently asked questions

Can I add a ChatGPT-style chatbot to a WordPress or Shopify site?

Yes. The chat interface can be embedded on any site with a small script, while the assistant itself runs on a separate back end that connects to the model API and your content.

Which AI model is best for a website chatbot?

OpenAI, Anthropic Claude and Google Gemini models all work well. Choose on answer quality for your content, speed, cost per conversation and data terms; many assistants use a smaller model for routine answers and a larger one for complex questions.

Will an AI chatbot replace my support team?

It usually handles repetitive questions and after-hours enquiries, letting your team focus on complex cases. A clear human handoff is essential.

How long does it take to build a custom AI assistant?

A focused assistant trained on your website content with lead capture can often be delivered in a couple of weeks; integrations with booking, CRM or order systems add time.
